Legacy Policy Archive - Modernized for 2026

This legacy policy has been modernized to align with 2026 enterprise IT and cybersecurity standards, covering Bring Your Own AI (BYOAI), passkey/FIDO2 enforcement (passwordless), and Mobile Threat Defense (MTD).

Mobile Device Security Policy

Approval Date August 22, 2026 Approved By Enterprise Security Council Purpose To describe security expectations for all users accessing network resources via mobile devices, including smartphones, tablets, and laptops, in a modern, AI-integrated landscape.

All employees who use a mobile computing device that accesses or synchronizes with organizational resources are responsible for securing their device to prevent data loss, compromise, or abuse.

  1. Device Management and Mobile Threat Defense (MTD)
  • All mobile devices accessing corporate data must be enrolled in the organization’s Unified Endpoint Management (UEM) system.
  • Mobile Threat Defense (MTD) agents must be active on all devices to provide real-time protection against network-based attacks, malicious apps, and OS vulnerabilities.
  • The organization reserves the right to remotely wipe corporate data from any enrolled device if it is reported lost, stolen, or compromised.
  1. Passkey and FIDO2 Enforcement (Passwordless)
  • Traditional passwords and complex passcodes are deprecated.
  • Access to devices and corporate applications must be secured using hardware-backed Passkeys or FIDO2-compliant biometric authentication (e.g., FaceID, TouchID, Windows Hello).
  • Biometric data remains securely on the device enclave and is never transmitted to corporate servers.
  • Devices failing to meet biometric hardware standards will be denied access to corporate resources.
  1. Encryption at Rest
  • All storage on mobile devices must be encrypted at rest (e.g., BitLocker for Windows, FileVault for macOS, native iOS/Android file-based encryption).
  • Cryptographic keys are managed via the UEM and escrowed securely.
  1. Bring Your Own AI (BYOAI) & App Usage
  • The use of consumer-grade, unapproved AI applications or side-loaded LLM apps on devices with corporate access is strictly regulated.
  • Employees must only use corporate-approved AI tools that guarantee data privacy and zero-retention (e.g., enterprise-licensed AI assistants).
  • Copying, pasting, or sharing corporate data, PII, or NPI into unauthorized AI applications is a violation of this policy.
  • MTD and UEM policies will actively block known non-compliant AI applications from accessing the corporate workspace.
  1. Personal Devices (BYOD)
  • Personal devices may access corporate resources only via secure, isolated containerization (e.g., Work Profiles) managed by the UEM.
  • The organization manages only the corporate container; personal data remains private, though MTD will monitor the device’s overall health and compliance status.

Employee Acknowledgement: By accessing corporate resources, the employee acknowledges and agrees to comply with the Mobile Device Security Policy and the enforcement of UEM/MTD controls.
